I have a Sharepoint Online client, that when browsing for a restore recently I saw that there was a lot of data simply not in the backups that is currently in Sharepoint.

I am wondering if this is because previously the Plan was set to Received/Creation Time (this is no longer an option for Plans) of 30 days, rather than Deleted Time of 30 days. It was changed to Deleted Time in Feb. This is a client that was set up back in 2021, so a lot has changed in the CommandCenter. In the Console, if you go to Policies > Configuration Policies > Exchange Policies and open a Retention Policy you can still see the Retention Mode of Deletion Time or Received Time. Prior to the Plan Change, if an item was created, backed up, and then would be aged 30 days later. My theory is that these items that ‘aged’, did not get backed up when the plan was changed to Deletion Time.

When changing a plan for M365 (Sharepoint Online in my case), does it apply retroactively to items (i.e. items that were backed up prior to the plan change)?

If it does not (which appears to be the case), how to I ingest the data that was created prior to the plan change?

Hello @KurtLO
This could be a possibility to what has happened but a support ticket is going to be what needs to raised to troubleshoot this issue.

If you are correct and the old version settings are taking place Dev will need to be involved to address it.

To confirm if this is 100% the case we will need to review your CSDB and environmental factors, these things cannot be done over a community thread.

I my self have not seen this exact error ( i work in the Messaging team in Support who deal with all M365 issues ) but that is not to say it is not the case here.

Feel free to respond with your case number so i can follow along and if it does get resolved please update this thread!

Kind regards
Albert Williams

@Albert Williams Yes, I have a case open - they have told me to upgrade to the latest MR, which I am doing this week, but I’m not very confident that will do anything. Case # is 241210-912.

Thanks for the update @KurtLO

I can see the ticket and that it is progressing. The steps to get you onto the latest MR are required before the customer support agent can move the ticket to Dev.

I will keep an eye on this thread but once you upgrade the SharePoint client the next steps for support are to go to Dev if the issue has not been addressed.

Please also keep this thread updated as well, thanks!

Kind regards

Albert Williams

The latest MR did not resolve the issue. If updating the retention settings, are they supposed to apply retroactively?

For the above example, an item has retention policy set as Creation Time of 30 days. 30 days after the item is created it is ‘aged’. Then after this period, the retention is changed to Deleted Time of 30 days. The item was marked as aged previously, but under the new retention (since it has not been deleted) it would now be included in backups.
