Office 365 Plan - Retention

Hi all,

We are reviewing our O365 Plan’s retention period. There are two settings 1. Retention 2. Version retention. I can’t find any documentation on Commvault website to explain each of these settings. Can someone please help to explain it a bit?

Q1. Does every deleted items older than Retention get deleted? (e.g. a deleted email in an active mailbox that has passed the retention period will get deleted from backup?) Or, it only look at account level? (e.g. everything in a deleted account passed the retention period will get deleted, otherwise it stays)

Q2. What exactly Version retention does? All our plan have this on infinite. How does this setting change the backup if we set it to 7 years?

Any information will help.

Explanation of Retention Settings in O365 Plan

1. Retention: This setting determines how long deleted items are retained in the backup. If an item, such as an email, is deleted from an active mailbox and the retention period has passed, it will be deleted from the backup. This setting applies to individual items rather than at the account level.

2. Version Retention: This setting controls how long different versions of an item are retained. If set to 'infinite', all versions of an item are kept indefinitely. Changing this setting to a finite period, such as 7 years, means that only versions within the last 7 years will be retained, and older versions will be deleted.

### Impact of Retention Settings
- Deleted Items: Items older than the retention period will be deleted from the backup, regardless of whether the account is active or deleted.
- Version Retention: Setting this to a finite period will limit the retention of item versions to that period, potentially reducing storage usage by removing older versions.
